Below is a macro I wrote to have a yes/no box come up every time you hit the send button to ask if you would like to send email to crm as well as client.  We did this as attaching every email to the crm wasn't necessary, especially internal communications etc. We have found this works really well. and has really streamlined the email archiving.

Private Sub Application_ItemSend(ByVal Item As Object, Cancel As Boolean)
Dim objContactItem As Outlook.ContactItem
    If MsgBox("Did you want to attach this email to a crm contact?", vbYesNo) <> vbYes Then
        Cancel = False
  Else
strBcc = "crm@yourdomainname.tld"
Set objRecip = Item.Recipients.Add(strBcc)
objRecip.Type = olBCC
    If Not objRecip.Resolve Then
        strMsg = "Could not resolve the Bcc recipient. " & _
                 "Do you want to send the message?"
        res = MsgBox(strMsg, vbYesNo + vbDefaultButton1, _
                "Could Not Resolve Bcc")
        If res = vbNo Then
            Cancel = True
        End If
    End If
End If
End Sub

open outlook and press alt+F11 and paste this into "This outlook session"  enter your archiving email address into strBcc where crm@yourdomainname.tld is then save and your ready to roll.

Do i need to setup anything in Zurmo for this to work? I am on version 3.0.2

Yes, email archiving in the administration section.

Just an update on this, when sending lots of emails with quotes/ brochures attached, your database get very big very quickly, it would be good if there was someway to delete these on the bcc email. I dont know if Zurmo are actively updating the opensource version anymore.

SOmeone might be able to intergrate the following script into the above to remove the attachments from the bcc email

Public Sub deleteAttach(itm As Outlook.MailItem)
    dim i as integer
    for i = ubound(itm.Attachments) to lbound(itm.Attachments)
        itm.Attachments(i).Delete
    next i
    itm.Save    
End Sub
